Buyer's guide · updated 2026

How to choose the
best applicant tracking
system for your firm.

There is no single best system, because a five-person placement firm and
a 300-person healthcare staffing agency are buying different things. This
guide covers the questions that actually separate the options, and where
Crelate fits.

Six questions that decide which system fits.

01

Do you need clients as well as candidates?

Agencies sell and recruit at the same time. If business development lives in a separate tool, the relationship history splits in two and nobody trusts either half.
02

Where do candidates come from?

If the strongest people are not applying, you need sourcing and contact data inside the system, or a second subscription and a sync to maintain.
03

Who configures it?

Some systems assume an administrator. If you do not have one, prioritize configurability a recruiting manager can handle without a project.

04

What happens after the placement?

Contract and temp work needs onboarding, credentials, redeployment, and a clean hand-off to pay and bill. Permanent placement needs almost none of it.
05

Will the reporting be true?

Reports are only as good as the activity capture underneath. Ask how email, calls, and stage changes get logged when nobody remembers to log them.
06

Is the AI included or sold later?

Several vendors reserve their strongest AI for enterprise or quote-only tiers. Check which plan the demo was run on before you compare prices.

Every category is a trade. Know which one you are making.

Category Strong at Trade-off Best for
Enterprise suite
Breadth, scale, and a large partner ecosystem
Cost, configuration effort, and a heavier day-to-day experience
Large firms with administrators
AI-native point tool
Sourcing and outreach, with a modern interface
Thinner as a system of record, and often a second system anyway
Sourcing-heavy teams
Payroll-first platform
Pay and bill, compliance, and back office depth
The recruiting front end tends to be an afterthought
High-volume temp operations
Front and middle office platform
Recruiting, CRM, sourcing, and onboarding together
Pay and bill comes from an integrated partner rather than the same vendor
Agencies and in-house teams that recruit like one
Crelate is in the fourth category: a front and middle office built for recruiters, integrating with the back office you choose.

Right-sized, and
AI on every plan.

Crelate is the AI Recruiting Platform for teams that hunt
talent. Applicant tracking, recruiting CRM, sourcing, and
onboarding sit on one record, the agents are included
rather than gated, and the platform is configurable
without a dedicated administrator.

Questions buyers ask during an evaluation.

What is the best applicant tracking system?
The best applicant tracking system depends on how your team makes money. Agencies need candidate and client management together, staffing firms need redeployment and a back office connection, and in-house teams need outbound sourcing beside an HR system. Compare on those needs rather than on feature counts.
Look for sourcing beyond your own database, contact data you can act on, configurability without an administrator, reporting built from captured activity, an open API, and AI that is included rather than reserved for an enterprise tier.
An applicant tracking system organizes people through the stages of a job. A recruiting CRM manages relationships with candidates and clients over time, including business development. Agencies generally need both, and Crelate puts them on one record.
Most of the work is data migration and configuration. Ask any vendor what they migrate, who does the work, and whether notes and attachments come across, then plan a parallel period before switching off the old system.
Pricing is usually per seat, with add-ons for data enrichment or premium services. Compare the total including the sourcing and contact-data tools you would otherwise buy separately.
